How Kuranda Village Accountancy collects, uses and protects your personal information.

Kuranda Village Accountancy Pty Ltd (ABN 44 687 335 664) (“KVA”, “we”, “us”) is committed to protecting your privacy. We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). As a registered tax agent, we also follow the Tax File Number Rule. This policy explains what we collect, why, and how we look after it.

Information we collect

Depending on how you deal with us, we may collect:

  • Contact and identity details: your name, email, phone number, postal address and occupation.
  • Business details: business name, entity type and ABN.
  • Financial and tax information: the income, expense, asset and other records we need to prepare your returns and give advice, including your Tax File Number (TFN) and supporting documents. We collect this through secure channels, never through our website forms or ordinary email.
  • Website information: limited technical information (such as your IP address and browser type) when you visit our site.

How we collect it

We collect personal information directly from you through our website enquiry and new-client forms, by phone, by email, in person and through secure document-upload services we provide to clients. With your authority, we may also collect information from third parties such as the Australian Taxation Office (ATO) or your previous accountant.

Your Tax File Number

We only collect your TFN where it is needed to provide tax and accounting services, and we handle it strictly in accordance with the TFN Rule. We never ask for your TFN through our website forms or by ordinary email. We will tell you which secure channel to use, and we use your TFN only for lawful tax-related purposes.

How we use your information

We use your personal information to respond to your enquiries; to provide accounting, taxation and advisory services; to meet our legal and professional obligations (including to the ATO and the Tax Practitioners Board); and to communicate with you about your affairs and our services.

When we disclose it

We may disclose your information to the ATO and other regulators where required or authorised by law; to the providers of the software we use to run the practice and exchange documents securely; to Web3Forms, which processes and forwards our website form submissions; to Cloudflare, which hosts and measures the performance of this website; and to your other professional advisers where you ask us to. We do not sell your personal information.

How we protect it

We take reasonable steps to protect your information from misuse, loss and unauthorised access. Our website is served over encrypted connections (HTTPS), and we provide a secure document-exchange channel for sensitive records. We never request them through an ordinary website form or ordinary email.

Overseas storage

Web3Forms is operated by a business based in India and says its servers are in the United States (US-East). It says form submissions are processed and forwarded rather than stored, although server logs may temporarily contain personal information and are periodically deleted. Other service providers may also store or process information outside Australia. We take reasonable steps to ensure providers handle information consistently with the APPs. We retain records only for as long as needed for the purpose collected and to meet our legal and professional record-keeping obligations, then delete or securely dispose of them where permitted.

Cookies

Our website does not use advertising cookies or build advertising profiles. Cloudflare Web Analytics measures page performance without using cookies and does not track people across websites.

Accessing and correcting your information

You can ask us for access to the personal information we hold about you, and ask us to correct it if it is wrong. Just contact us using the details below and we’ll help.

Complaints

If you have a concern about how we have handled your personal information, please make a complaint in writing using the contact details below. We will acknowledge it, investigate the matter and aim to respond within 30 days. If you are not satisfied with our response, or we do not respond within a reasonable time, you may complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

We may update this policy from time to time. The current version will always be available on this page.
